Saffron Walden Swords is a community membership amateur sports club.

General data policy

All personal data collected and stored by the club is used solely for the  purpose of running the club.  No details are shared with 3rd parties for any purpose. 

The only exceptions to this are:

  1. In the event of a medical emergency when the medical and contact details of a member may be released to a medical practitioner or emergency first aider to assist with medical treatment.
  2. Your name, contact details and British Fencing membership number will be shared with British Fencing (www.britishfencing.com) in order to confirm your membership. This is a requirement of membership as is essential in order to confirm liability insurance cover.
  3. Any request from any enforcement agency which has the legal power to request such data. 

Details collected when sending a message from the website contact forms

All details entered on contact forms is sent via email to the club and may be stored electronically. Additionally the IP address of the users device will be recorded to help spam detection.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

This website uses cookies. The website  will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Cookies may store your name, email address and website if entered onto contact forms.

When you log in, publish an article or leave a comment the website may set up several cookies to save your login information and your screen display choices. Cookies are stored for a maximum of 1 year.

No information collected in cookies on the website are passed to any third party for any purpose.

Who we share your data with

We do not share data outside of the club with the exceptions listed above in the general policy section.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Membership data will be retained for 1 year after membership lapses.

What rights you have over your data

Members may request the deletion of their retained data at any time.  A request to delete medical data, contact details or British Fencing membership details will automatically cause the cancellation of club membership since this data is required to ensure the safety of members during fencing.

This does not include any data we are obliged to keep for administrative, legal, or security purposes.
